Job Description: We are looking for a proactive, highly organized, and detail-oriented Bilingual Administrative Executive Assistant with 2+ years of experience in a similar role. This position requires excellent communication skills in English and Spanish, strong organizational abilities, and the capacity to manage multiple responsibilities efficiently. The ideal candidate will support the management directly and assist with high-level administrative, coordination, and project management tasks. Responsibilities: Executive Support: Assist with daily tasks, scheduling, and prioritizing activities. Manage heavy email correspondence, phone calls, appointments, and travel arrangements. Prepare and edit presentations, reports, and documents using Canva, PowerPoint, and other office tools Project & Office Management: Support project management initiatives and ensure deadlines are met. Coordinate company events, training sessions, and team activities. Maintain organized filing systems (digital and physical) and manage office supplies inventory. Administrative Support: Draft, format, and proofread reports, memos, letters, and other communications. Handle incoming and outgoing correspondence efficiently. Support onboarding of new employees, including workstation preparation and welcome kits. Requirements: 2+ years of experience in an administrative or executive assistant role. Strong organizational and multitasking skills with meticulous attention to detail. Excellent verbal and written communication skills in English and Spanish. Proficiency with Microsoft Office, Google Workspace, and project management platforms. Able to work independently and collaboratively. Professional attitude, discretion, and reliability. US visa or willing to travel to the U.S. is a plus Preferred Qualifications: Degree or diploma in Business Administration or related fields. Experience supporting senior executives or company leadership. Familiarity with administrative and project management software (e.g., Trello, Notion, Slack, CRM tools). Intermediate to advanced English proficiency. System Requirements (for remote work): Desktop or laptop with Intel Core i5 or higher. Minimum 8GB RAM for multitasking. Workstation free from noise and distractions. Backup internet connection. USB headset with noise cancellation. Backup power solution (Generator/UPS or alternative location).
